Once you have performed a search using the Search Users tool, you will be taken to the results page which contains a table of results:

    1. The table shows the users: name, username, last login date, total number of times they have logged in and status (active or suspended).
    2. If the user has a User Display Type selects, it will appear here. How do I assign a User Display type?
    3. If your school has paid for ePortfolios, then the ePorfolio homepage icon and My Resource folder  icon will appear alongside the names of any user who has an ePortfolio enabled. For more information on how to turn on and off a user's ePortfolio, see below). To view a user's ePortfolio hompage, or My Resources folder, click on the icons.
    4. To edit a user profile, click on the edit icon . This will allow you to edit the user's: details, address, profile sets and groups
    5. The mortar board icon appears only next to students. If you hover the cursor over it, it shows the caption teachers. Clicking on this icon shows you a list of classes the student is a member of, and the teachers of those classes.
    6. To view an audit trail of the user, showing which pages they have visited/edited, click on this icon .

Exporting User details to a CSV file

It is possible to export the details of users to a CSV file.

    1. Tick the box next to the user/users whose details you wish to export. To select all users click this icon
    2. Click on the Export to CSV icon at the top of the page
    3. A pop up box with appear giving you the option to open the CSV file, save the CSV file or cancel the action.


User Display Types

It is possible to configure the My Panel for individual users, to reduce the amount of features they have available and to show primary style icon links, rather than text links in the My Panel. User Display Types are configured on the Personalise My Panel page.


To assign the User Display type to one or many users:

1. Tick the box(es) next to the users. (Tip: if you want to assign the User Display type to an entire profile set such as a year group, select to search for that profile set on the Search Users page, remembering to untick the box next to the school/top level group name).

2. Select the User Display type from the drop box that says 'default'

3. Click on this icon next to the drop box to save the change.


If you want to turn off a User Display Type, select the user(s) you wish to turn it off for by ticking the box(es) next to their names, select Default from the drop box and then click on the icon to save.

Locked account 

If a user has exceeded the number of attempts allowed to enter their password or secret question, then their account will be locked and only a cLc manager will be able to unlock this. The number of attempts allowed is set in the Password Policies.

How do I unlock an account?


To suspend a user/users

It is possible to suspend a user account. When a user has their account suspended they can no longer log in. This means that they are only able to view pages that are public.

    1. Tick the box next to the user/users you wish to suspend. To select all users click this icon
    2. Click on the suspend selected user(s) icon
    3. A pop up message will appear which asks: Are you sure you want to change the Status for the selected User(s)? Click OK to confirm or Cancel to abort.
    4. The icon under the heading status will change from this to this to show that the user account is not active.


Please note: Alternatively you can suspend an account whilst editing the user's details

To activate a user/users

To activate a user account which has been suspended.

    1. Tick the box next to the user/users you wish to activate. To select all users click this icon
    2. Click on the activate selected user(s) icon
    3. A pop up message will appear which asks: Are you sure you want to change the Status for the selected User(s)? Click OK to confirm or Cancel to abort.
    4. The icon under the heading status will change from this to this to show that the user account is active.


Please note: Alternatively you can activate an account whilst editing the user's details


To delete a user/users

To delete a user:

    1. Tick the box next to the users name
    2. Click the delete selected user(s) icon
    3. A pop up message will appear which asks: Are you sure you want to change the Status for the selected User(s)? Click OK to confirm the deletion or Cancel to abort the decision.


To delete multiple users:

    1. Tick the boxes next to the users names (to select all users, click this icon at the top of the table)
    2. Click the delete selected user(s) icon
    3. A pop up message will appear which asks: Are you sure you want to change the Status for the selected User(s)? Click OK to confirm the deletion or Cancel to abort the decision.

To turn on a user's ePortfolio

This option will only appear if your school has bought ePortfolios.

    1. Tick the boxes next to the users names (to select all users, click this icon at the top of the table)
    2. Click the Turn ePortfolio on for selected user(s) icon
    3. A pop up message will appear which asks: Are you sure you want to change the Portfolio Status for the selected User(s)? Click OK to confirm the deletion or Cancel to abort the decision.


To turn off a user's ePortfolio

This option will only appear if your school has bought ePortfolios.

    1. Tick the boxes next to the users names (to select all users, click this icon at the top of the table)
    2. Click the Turn ePortfolio off for selected user(s) icon
    3. A pop up message will appear which asks: Are you sure you want to change the Portfolio Status for the selected User(s)? Click OK to confirm the deletion or Cancel to abort the decision.

User Migration

This option allows users to be migrated to other schools on the same platform. If the user has an ePortfolio, this will also be moved.

    1. Tick the boxes next to the users' names (to select all users, click this icon at the top of the table)
    2. Click the Move Users to Another School icon
    3. A pop up message will appear which asks 'Are you sure you want to Move the selected user(s) to another school?'
    4. You will then be taken to the 'Move users to another school page'. Here you can view the names and usernames of all of the users you have selected. You can then select to remove the user(s) from the following aspects of the cLc:


               Group memberships: they will no longer be members of any groups in their current school

               Tutor Group/Form profile sets: they will no longer belong to any tutor group/form profile sets in their current school

               Class profile sets: they will no longer belong to any class profile sets in their current school

               Subject profile sets: they will no longer belong to any subject profile sets in their current school

               Other profile sets: they will no longer belong to any other profile sets in their current school


    1. Select which cLc you wish to send the user(s) to, which year group they will be in (or select remain in same year) and tick the Change username prefix box if you want the user's username to begin with the new schools prefix, rather than their current school prefix. Please note: if you do not tick this box, the user's username will remain the same, and therefore when they login to their new school they will have to delete the default prefix from the login box and then enter their whole username including prefix.
    2. Click the Move Users button


Export ePortfolio on selected users


The purpose of this tool is to allow users leaving school to archive the content of their ePortfolio (My Homepage and My Resources) and take it to another school using the cLc Learning Platform.
